Microsoft Forms can be a powerful tool for collecting data, setting up questions and reports, and even integrating with the Power Platform. Let’s set up a questionnaire to have an understanding of Forms.
Microsoft Forms, at a basic level, is a great way that you can create a poll or anything else that you may need to generate information, or even get a rating on something. This could help with feedback from your client, internal, or even just project to project. It is a very quick and easy process that anyone on your team can do. Let’s build a quick survey that we can track what everyone is saying, and make sure that we can get valuable feedback.
Opening Microsoft Forms
Opening forms is very easy, just like every other app that we have opened. All we need to do is either select the waffle, which will require you to probably search in the all apps section. The other option would be to simply go to forms.office.com.
Starting Your First Form
Today we are going to put together a questionnaire and review of a recent project that we have just completed. This is a great way to get an understanding of how we can be more effective with our teams, and allow us to also make sure that the team is working together well, and there are no internal issues. The first thing that we will need to do is simply click on the New Form button on the top left.
Now that you have started your first form, you need to name it. Make sure to name it something specific, so that you can refer back to the responses that you have. We are going to call this one Blog Questionnaire. When you have clicked on the title of the project, it will split into 2 bars, one for the Title, and a Tescription. You can even add an image in your title if you want to spruce it up and make it fancy!
Adding Questions
Adding and changing questions is quite an easy process. Let’s take a look at each kind of question that we can ask, and how to implement each in the questionnaire. To add a question, all you need to do is click on the Add new button.
Choice
The first one that we are going to look at is the Choice question, which is a multiple choice question. We have all been there, filling out our multiple choices in an exam. We all know what they are, and all you need to do is click on the button, add your question, and then supply it with as many answers as you need.
If you need more or need to add another option, you can easily click on the Add Option or Add “Other” Option Just in case you need to add Other. The other thing that you are going to notice is the Multiple answers toggle, and the Required toggle. Turning on Multiple answers allows the user taking the questionnaire to select multiple answers, and the enabling Required will require the user to answer this question to complete the form.
To add another question once you have filled in your questions, you will simply do the same… Click the Add new Button.
Text
The next one that you will see is the Text question. This is a question that you can add a box that the user can enter text in. As above, simply type your question. This one is quite a bit easier because you do not have to come up with the answers. In this one you will notice that there is an option to enable a Long Answer which will allow the users to input as many characters as they would like. While the default mode only allows for 4000 characters (including spaces).
Once you have completed this question, we can do as before, and click Add New.
Rating
Rating is a great question to have if you want to gauge how well someone enjoyed, agreed with, or even disliked on a sliding scale. This question requires to be a Rating. You can use any value from 1 to 10, and you can use either just straight-up numbers, or you can use stars, depending on how you are feeling about the question. This one is a simple question to enter, and should look like this:
Date
The final question that we will be looking at is a Date question. Which can be as easy as your birthday, the day you started, or anything else that you may need a date for. Simply add this, click on date, and the rest will take care of itself.
